1. Overview
RentSeekr is an Australian-focused technology platform for people seeking residential rentals and people offering them. “RentSeekr”, “we”, “us” and “our” mean the partnership that operates the platform.
We aim to handle personal information openly and carefully. This policy describes our current information-handling practices and supports compliance with applicable Australian privacy law, including the Australian Privacy Principles where they apply.
2. Information we collect
We collect information that is reasonably necessary to operate and secure RentSeekr, provide requested rental workflows and meet legal obligations. What we collect depends on the features you use.
Account, identity and security information
- name, email address, phone number, account role and profile details;
- authentication, account-verification, session, invitation and multi-factor authentication information; and
- security events, permissions and administrative audit records.
Properties, listings and rental activity
- property and room addresses, characteristics, availability, rent, bond, photographs, documents and listing content supplied by rental providers;
- saved listings, enquiries, conversations, attachments and inspection bookings or attendance;
- rental application details such as date of birth, household, employment, income, rental history, referees, pets, vehicles, proposed tenancy terms, supporting documents, declarations and submitted application PDFs;
- application assessment, checks, amendment requests, decisions and related communications; and
- agreement, participant, rent, bond, signature, condition-report, maintenance, tenancy and property-record information created through management features.
Savings calculator information and AI processing
- completed and incomplete calculator answers, assumptions, generated estimates, progress and completion status;
- an email address only if you choose to associate one with an estimate;
- AI session counts and an optional email address; and
- a prompt and generated response when you choose to invoke an AI-assisted feature.
The public AI demo sends the prompt to OpenAI only when you invoke the feature. RentSeekr does not persist the public demo prompt or response; it stores the session count and any email address you choose to provide. The calculator creates a saved attempt when you select “Start estimate”. A private opaque session token controls active public access; Save & exit can issue an expiring, one-time resume capability that is invalidated when exchanged. Authorised RentSeekr employees may review calculator attempts for support, service operation and product improvement. Revealing calculator contact details requires a separate employee permission and MFA-verified session.
Other rental tools
We record tool views and result displays without attaching calculator figures, checklist answers, contact details or a visitor identifier to those events. For tools offering “Share this result with RentSeekr”, entries remain in your browser unless you preview and explicitly agree to send the displayed result. Shared snapshots include the selected tool, figures or checklist answers, consent notice version, time and a random submission reference. Authorised Team members can review these snapshots to check and improve the tools; detail access is audited. Room labels and custom cost names are excluded. Sharing does not sign you up for marketing. Keep the submission reference if you contact us about a shared result.
Technical, support and contact information
- network, device, browser, request, service-log, fraud-prevention and security information;
- support, privacy, safety, legal and billing requests, feedback and records of communications; and
- information generated when we diagnose errors, deliver notifications or measure service performance.
We generally collect information directly from you. We may also receive information from another user involved in a rental interaction, an authorised referee, a service provider, or a public or official source where permitted.
3. How we use information
We may use personal information to:
- create, verify, secure and administer accounts and permissions;
- provide property discovery, listings, enquiries, messaging, inspections, applications, agreements, condition reports, maintenance and tenancy-management features;
- generate requested documents, maintain version and signature evidence, and deliver relevant notifications;
- save, resume and display calculator or AI-assisted sessions and improve those features;
- respond to support, privacy, safety and legal requests;
- operate, troubleshoot and improve RentSeekr and understand service performance;
- detect, investigate and prevent fraud, misuse, security incidents and breaches of our terms; and
- comply with legal obligations, enforce rights and resolve disputes.
Providing an email for a calculator estimate is not consent to marketing. We do not sell personal information. We use or disclose information only for the purpose for which it was collected, a related purpose you would reasonably expect, a purpose you consent to, or where otherwise permitted or required by law.
5. Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures include role-based access controls, authentication, private storage, encryption in transit, audit records, bounded access links and supplier safeguards. No internet service can guarantee absolute security.
We keep information only for as long as reasonably needed for the purpose for which it was collected and any applicable legal, accounting, dispute or enforcement requirement. Retention depends on the record and jurisdiction.
- Application cleanup follows the recorded jurisdiction and legal class, the actual letting or decision dates, the purpose for keeping the information and any applicable lawful hold. The earliest applicable statutory or product cutoff wins; a privacy request does not extend it.
- For current classified ordinary VIC and SA applications, unsuccessful information generally has a 30-day cutoff from the applicable outcome or agreement-entry event. For ordinary QLD and covered QLD rooming applications, the statutory scope period is three months from commencement of the successful agreement, with earlier product cutoffs where applicable. For ordinary NT and covered NT boarding applications, RentSeekr uses a stricter five-calendar-day unsuccessful-information cutoff. These periods must not be applied to a different legal class merely because a listing offers a room.
- Other supported classified arrangements use a 30-day raw-application product cutoff from the applicable decision or agreement-entry event, including successful raw applications while an agreement continues. Eligible stale unsuccessful records also have a three-month product expiry from submission, or creation if unsubmitted. Historical unclassified records keep their applicable recorded state policy; they are not silently assigned a new class.
- Covered successful raw applications follow their recorded lifecycle: ordinary VIC and SA, and ordinary NT or covered NT boarding, use three years after tenancy end; ordinary QLD and covered QLD rooming use seven years after agreement end. These are distinct from the shorter product policy for other classified arrangements and from independently retained agreement, financial and other tenancy records. Earlier purpose-based destruction and applicable legal obligations still govern.
- Application deletion covers the application record, submitted snapshots and versions, applicant and referee details, assessment and amendment data, application-specific notifications and system messages, generated PDFs, uploads and associated private storage objects. Providers remain responsible for copies they hold outside RentSeekr.
- Other tenancy, account, support, security and business records are deleted or de-identified when no longer reasonably required, subject to applicable laws. Contact us for the current basis or date for your information if it is unclear.
Automated cleanup uses a restricted, retryable process. Minimal operational and private-receipt information may remain only while needed for a separate permitted purpose, subject to applicable limits; it is not all anonymous. Private cancellation receipts expire online 24 hours after completed cleanup. Separately requested acknowledgement contact details have a bounded period and earlier applicable destruction cutoffs. These records do not restore application answers or restart their retention. Platform cleanup cannot remove a downloaded copy or an email already held on someone else’s device.
6. Access and correction
You may be able to access and update some account information through RentSeekr. You may also request access to, or correction of, personal information we hold about you by contacting our privacy contact. We may need to verify your identity and, in limited circumstances permitted by law, may refuse a request or charge a reasonable fee for providing access. If we do, we will explain why.
7. Privacy complaints and contact
If you believe we have mishandled your personal information, use the RentSeekr contact form and choose “Privacy”. Include enough detail for us to investigate, but do not send passwords or unnecessary identity documents. We will acknowledge the complaint, review it and respond within a reasonable period. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner.

8. Changes to this policy
We may update this policy when our services, information practices or legal obligations change. We will publish the revised version on this page and update the “Last updated” date. Where a change is material, we may provide additional notice through the platform or by email where appropriate.
This policy is not a substitute for the collection notices that may be provided when specific information is requested from you.
RentSeekr City advertisements and affiliate links
For business enquiries and advertiser onboarding, we collect business and legal names, an ABN, an authorised contact’s name, business email and phone, website, service area and enquiry details. We use them to respond, check listing eligibility and authority, and administer placements. Private registration details are restricted to business owners/admins and authorised RentSeekr reviewers; they are not included in the public City directory or advertising reports. Enquiries are stored in the restricted Team contact system, with a limited email notification for follow-up. Our access, correction, security and retention information below also applies.
City matches service categories with the City and area you choose. Optional task shortcuts may suggest a type of service for your current rental stage. Opening a listing is your choice. We do not sell rental application, lease or tenancy details to advertisers, or add your private address, task identifiers or account details to provider links.
Advertisements may record anonymous, placement-scoped views and clicks. Affiliate links can contain RentSeekr’s programme tracking identifier so a provider or affiliate network can attribute a referral. Affiliate tracking happens under that provider or network’s privacy and cookie policies when you visit. We do not currently add affiliate clicks to City’s paid-advertisement analytics.
External providers may process connection information, use cookies or link a referral to a purchase under their own policies. Read those policies before sharing information. RentSeekr may receive commission and referral reporting under an approved programme. This income helps improve RentSeekr. See commercial-link terms (new tab). You can browse directly or use another provider.
