MANAGING A TENANCY

Use property documents and maintenance tracking

Keep owner-private property evidence and simple request tracking separate from shared tenancy repairs.

Before you begin

These instructions apply to authorised existing users when the workflow is enabled. Public customer sign-up and sign-in are currently paused. A help page does not grant account or record access.

Choose the correct property. Its Documents index contains owner-private property records; linking a property to a tenancy does not automatically share these files. The property Maintenance destination is provider request tracking, distinct from the tenancy repair workflow.

What to do

  1. In Documents, choose Add a private property document. Enter the requested document details, document date and review-on date, then upload a supported file. Check the saved row before opening its secure download.
  2. Check the stored category/dates before relying on the row. This screen currently offers download/source access rather than editing saved metadata. Contact RentSeekr about an incorrect saved index entry; canonical agreement/report documents have their own protected workflow.
  3. In property Maintenance, record the request’s summary and details. Use the offered status and scheduling controls to track that request.
  4. For a renter-reported repair, entry authority, contractor progress or shared response, open the linked tenancy and its Repairs and maintenance section instead.

Expected result

Your property evidence remains accessible through its authorised private index. Maintenance rows show the provider’s recorded tracking state. A document review date or scheduled request is an entered planning record, not a statutory deadline or proof the work was completed.

Limits and recovery

Property maintenance does not offer renter reporting, comments, attachments or the full tenancy contractor/history workflow. Do not promise those features from this screen. A file upload or list refresh can fail independently: reopen the index and check whether the row exists before uploading again. Respect the displayed size/type limits; editing metadata does not rewrite a canonical signed document.
