Repair requests, progress, entry and reimbursement records
Explain the independent records behind a repair stage, appointment, completion and expense follow-up.
Request versus progress
A request records the reported issue and its submitted facts. Progress records the supported assessment, response, contractor/work and stage history. Reported urgency is not automatically an assessed urgency or legal finding. The property Maintenance index is a separate provider-only request-tracking surface; it does not expose the full shared tenancy repair workflow.
Independent repair evidence
One record must not be used as a substitute for another.

Role and stage controls
The action list depends on role and current stage. Providers record supported assessment/contractor details; renters use their offered response, withdrawal or dispute controls. A changed entry source can place an appointment on hold. Dates or contractor names in progress notes do not grant permission to enter.
Reimbursement privacy
Eligible claimants record their own expenses/evidence through the supported follow-up. Current providers can record the offered payment assertion; recipients record their own receipt or dispute. Access and history are scoped accordingly. Another claimant’s private cost records should not be copied into shared notes. An external proceeding/outcome has its own evidence and is not inferred from a status label.
Currentness and recovery
Refreshing the repair and linked entry/case records can reveal that an earlier review no longer matches current facts. Follow the hold, preserve the original evidence and use the available correction/response path. Completion, a deadline label, payment assertion or recipient receipt does not certify compliance or decide reimbursement entitlement. Help supplies no statutory repair periods; use current official guidance or qualified advice.
