PRODUCT DOCS

Workflow cases, audiences, revisions and evidence

Understand a case projection and its privacy boundary before recording or sharing a finding.

Cases group a specific workflow

A tenancy case collects a supported issue, its details, evidence, actions/responses and retained events. Availability and progression depend on the workflow, role, tenancy support and current facts. A case status describes the product process, not the legal effect of the issue.

Access and evidence distinctions

Check the audience at the record, not just the tenancy header.

Access and evidence distinctions
ConceptMeaning
Case audienceDetermines which permitted people can view the case. Some cases are creator-only or otherwise restricted.
Shared noteA fact deliberately safe for the named shared tenancy history.
Reserved / pending evidencePreparation that has not yet become the required committed evidence.
Committed evidenceA retained attachment/fact accepted into that workflow; not an independent legal verification.
Case revisionThe version of details/actions the next check or response must match.

Find the supported workflow family

The actual catalogue/action for your role and tenancy is authoritative. Not every family is available to every person or arrangement.

Renewal, participant change and endingExact source/agreement, individual responses and effective/possession records.Execution, current access, possession return and closure are separate.
Bond and financial settlementParty-specific proposal, external outcome, actual receipt and attribution.A proposed split or closed case does not move money.

Rent-change and arrears recovery

For a rent-change workflow, review the existing history/basis, retained notice/source and individual responses. If the app reports authority or eligibility review, open the stated evidence and latest figures before the offered application step. Do not alter old dates or start a duplicate case to clear the hold.

For arrears, compare the exact recorded periods, factual payments, allocations, credits and authority/ending findings. Review each recipient’s notice/service facts separately where offered. A saved rent increase, pending payment or chat read marker does not prove lawful rent liability, settled money or valid service. Current legal requirements need official guidance or advice.

Private findings and individual responses

Property ownership or landlord role does not grant private case access. Each permitted person records their own response/signature/receipt where offered. A shared tenancy outcome should not repeat confidential case facts. An individual consent response can be available without revealing the private source case.

Why reviews become stale

A review can bind a particular case revision and evidence/source set. Corrections, withdrawals or later facts can make that earlier finding historical. The app can hold the next action until a new review. A previously completed check must not be treated as current solely because its event remains in history.

Recovery and meaning of completion

After an uncertain save, reopen the existing case and inspect its current revision/history before retrying. Use the offered correction or withdrawal for your own assertion. A completed/closed case does not settle every linked obligation, transfer funds, establish valid service or end the tenancy’s legal relationship. Keep external-process evidence and current legal advice separate from product progression.
