Financial claims, refunds, receipts and closure snapshots
Distinguish entered money facts, payer-specific receipt evidence and reviewed settlement state.
Claims and factual money records
Financial review can retain unallocated payments, refunds, other claims, bond contributions/party refunds and reversals. A proposed claim or entered amount is not a verified payment or an enforceable debt. A claimant’s expense record and a provider’s payment assertion are different evidence from a recipient’s own actual receipt.
Read the accounting layer
Use the named party, amount, source and currentness together.
| Concept | Meaning |
|---|---|
| Unallocated money | A factual payment record not fully connected to the intended charges. |
| Allocation | An association between a money record and a particular charge/item. |
| Refund/payment assertion | An entered account of a transfer, not automatic external reconciliation. |
| Recipient receipt/dispute | That named person’s own evidence of what they received or dispute. |
| Reversal/correction | A retained adjustment to earlier accounting evidence. |
| Closure snapshot | The reviewed state and unresolved exclusions at that time. |
Ending-period and authority review
A schedule/charge can require authority or ending-period findings before its amount can be relied on. An earlier paid adjustment does not erase original payments or prove a surplus was returned. Source changes, disagreements or later directions can put an amount or attribution back into review. Preserve factual payment entries while reviewing the applicable source.
Amounts and independent evidence
Amounts are entered as AUD through the supported controls; allocation and correction records retain their source/party associations. For example, a fictional $500 received record and a $400 allocation are not automatically a settled $100 refund. The remaining money and any actual return need their own truthful evidence. A private claimant’s costs must not be copied into another person’s shared record.
Recovering and closing honestly
After an unknown save result, refresh the existing money/case view and compare history before repeating the entry. Use the offered reversal/correction/attribution path instead of a fabricated offset. Final closure records unresolved exclusions; it does not certify compliance, discharge debts or move funds. Customer collection/refund initiation remains held; Help and Next Steps perform no financial action.
