Prepare and respond to a condition report
Keep provider observations, renter responses and the correct report version together.
Before you begin
These instructions apply to authorised existing users when the workflow is enabled. Public customer sign-up and sign-in are currently paused. A help page does not grant account or record access.
Use the report for the correct property, jurisdiction and participants. It can belong to an agreement or be a supported one-off report with an optional lease. Complete the physical assessment; the app does not inspect the home or supply the completed official form.
What to do
- Providers: open or create the report for the selected property and check its jurisdiction/template guidance. In a one-off report, use the supported verified, scoped renter invitation; creating its link does not deliver it or enable general guest access.
- Assess the items and add factual comments/photos. For a new national evidence report, attach the completed Official condition report form and review it before provider signing. Check that all saves and uploads finished.
- Renters: open the provided report, record agreement or differences item by item, then complete your own review and signature.
- Retain the completed report and evidence. Check any recorded return date against the actual circumstances and current official guidance.
Expected result
Observations and responses stay linked to the report. RentSeekr’s generated package is supplementary evidence, with copies of the attached form; it does not replace a prescribed or approved official form. A signed lease does not complete the report, and a signature does not mean every observation was agreed.
Official forms, originals and receipt
The baseline official-form uploader accepts up to three PDFs, each up to 15 MB/40 pages, with a 40 MB combined limit. Use its displayed limits and processing messages. Retain/download the original separately: a visual copy in the generated package does not preserve or verify every original digital signature. Attaching a form does not certify its accuracy or legal sufficiency.
Renter provision, actual receipt and response are separate records. Each renter’s own receipt/correction can affect their displayed return status without rewriting the signed report or another renter’s receipt. Check the real source and current official guidance; Help does not calculate a statutory period.
When something goes wrong
A report can await provision, participant access or finalisation. Refresh its current state after an uncertain save or signature. A changed agreement or audience can create a successor report; use the current one and retain history. Missing dates mean the date is not recorded here, not that a legal requirement disappeared. If photo or PDF processing is unavailable, follow the existing retry state and contact support with the report reference.
