Set up intake and respond to application amendments

Review what is requested, preserve submitted versions and use the supported amendment or withdrawal controls.

Before you begin

These instructions apply to authorised existing users when the workflow is enabled. Public customer sign-up and sign-in are currently paused. A help page does not grant account or record access.

Providers should prepare the correct agreement class and property/room details before enabling intake. Saving setup discloses the premises address and, for a room application, its room name to applicants. Review that disclosure and the requested information first.

What to do

  1. Providers: open application setup for the eligible offer, complete the supported intake fields and review the selected document purposes. Resolve the marked errors before saving.
  2. Providers: when further information is needed, use the offered amendment request, choose permitted categories and explain why the information is necessary. Do not request a category simply because a free-text message could ask for it.
  3. Renters: open the pending amendment, check what was requested and update the permitted information/documents. Review the declaration and submit the amended version where offered.
  4. Renters: if you no longer wish to proceed, use the offered withdrawal action and check the resulting status. Providers use the current review/progression controls rather than treating an old submission as agreement execution.

Expected result

The workflow retains submitted versions and the amendment’s state. A provider can review the specific information received; a later version does not erase the earlier version. Shortlisting or pre-approval is distinct from a completed agreement.

Limits and recovery

Document collection is constrained by the intake and request purpose; identity evidence is deferred to the supported shortlisted stage. A stale revision or pending upload can prevent submission. Refresh the same record and compare its latest version before retrying. A closed or unavailable intake cannot be bypassed through another account or an old link.
