Application profiles, submitted versions and review states
Separate reusable preparation, frozen submissions, amendment requests and agreement progression.
Profile versus application
The reusable profile helps prepare another application. Each application belongs to its offer/intake and contains its own fields, household information, attachments and declarations. A submitted version is the information actually sent for review. Later profile edits do not replace that snapshot.
Review states in context
Some historical records can show legacy labels; use the action and explanation in the current record.
| State | What it describes | What it does not establish |
|---|---|---|
| Draft | Editable preparation. | No submission or reservation. |
| Submitted / under review | A version is available for provider review. | No suitability decision or agreement signature. |
| Shortlisted | The provider progressed that application. | No completed identity checks or rental guarantee. |
| Pre-approved — checks pending | Conditional progression in the supported workflow. | No final signed agreement. |
| Proceeding to lease | The record can progress towards lease preparation. | No executed lease or completed tenancy setup. |
| Declined / withdrawn | The application is no longer progressing through that path. | No automatic deletion of retained versions. |
Amendments and collection purpose
An amendment request identifies the permitted categories and reason for more information. The applicant updates the allowed draft/amendment and submits a new reviewed version; earlier versions remain. Identity-document collection is deferred to the supported shortlisted stage. A free-text request is not a bypass for prohibited or unnecessary evidence collection.
Uploads, declarations and PDFs
Saving fields, uploading a document, accepting a declaration and submitting are separate actions. A preview PDF reflects preparation; a final download reflects the selected submitted version. Current account/profile edits do not rewrite an old PDF. Application upload controls accept PDF/JPG/PNG/WebP within their displayed limit; the baseline uploader caps files at 15 MB.
Retained files, privacy requests and round outcomes
My application files offers exact submitted PDF versions while retained. Access/correction/removal requests have their own applicant request, provider response and applicant completion confirmation; a response does not prove a disposition occurred.
Providers can record actual external letting dates or close the exact unsuccessful offer round through the offered controls. These facts inform the recorded retention boundary without creating an executed app agreement. A missing boundary needs outcome facts/review. Retention processing and successful-application deletion are separately gated; this documentation supplies no statutory period.
Recovery and permissions
Reopen the existing application after an uncertain submission, upload or download. Check its latest version and request state before retrying. A changed revision can require refresh; a closed intake cannot be bypassed. Providers review only applications their ownership/intake relationship permits; applicant access is to their own supported record. RentSeekr does not make the tenant-selection decision.
